About the position:

Responsibilities:

Provide high quality executive support to the International President and CEO in Silverdale, WA:

  • Manage and maintain CEO calendars & COTN International calendars, emails, voicemails, and appointments
  • Coordinate international, board, and minor meetings including scheduling, agenda development/distribution, monitor phone/email/web-ex or other modes of communication insuring smooth connections and communication, reporting, as well as recording and distributing notes and next step actions
  • Provide support for CEO in planning, hosting board meetings, and communicating board actions as directed
  • Collect, prepare, and distribute reports (expense, staff, monthly, board, etc.)
  • Provide project management for International Project/Program Proposal Tracking
  • Coordinate, collect and compile annual country documentation including feasibility, launch, strategic plans, annual goals, and budgets as directed
  • Communicate with donors as directed
  • Support CEO with preparation of Monthly Communication Update to all COTN staff
  • Support Founders in condolence correspondence
  • Support CEO in the creation of investor development / partnerships / church appearances and speaking opportunities including:
    • Providing and coordinating logistical support
    • Creating communications
    • Scheduling appointments, conference calls, etc.
    • Create and oversee protocols
  • Perform reception duties for the office including:
    • Greeting visitors, answering phones
    • Conducting visitor tours as needed
    • Coordinate cleaning of CEO office complex
  • Maintain COTN organization files including; but not limited to:
    • 501(3)c information
    • By-laws
    • Board Notes
    • Country Files
    • CEO personal information
    • Correspondence
    • Financial
    • Others as requested by CEO
  • Arrange CEO and international guests travel details including flights, visas, and accommodations
  • Maintain CEO contact list for International staff
  • Monitor inventory of CEO office supplies
  • Coordinate offsite events with Field Offices, etc.
  • Maintain and coordinate yearly event calendar with Special Events
  • Other duties and projects as assigned

 

Skills and Qualifications:

  • Associates or bachelor degree from an accredited college and/or the equivalent with 2-4 years of relevant work experience providing moderate to complex administrative support to a high-level manager or above
  • Proficiency in Google web-based products, Microsoft Office products including Word, Excel, Access, PowerPoint, Publisher and Outlook. Familiarity with multi-line phone systems
  • Outstanding organizational and follow-up skills
  • Effective and timely interpersonal, written, and oral communication skills
  • Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
  • Self-motivated, works independently, multi-tasks, with ability to prioritize work
  • Professional in dress, appearance, and overall demeanor
  • Ability to handle confidential and sensitive information
  • Dependable, punctual, and ability to complete work as scheduled
  • Ability to deliver excellent customer service
  • Advanced knowledge of office procedures and general office equipment
  • Ability to build relationships
  • Ability to make recommendations on changes in approach, concepts, and the design of solutions as a member of a team
